Invitations

The Invitations page is used to invite users to your company workspace.

Use this page when you want to add a colleague, employee, partner, or contractor as a member of your company in Actualog.

When a user accepts an invitation from the company workspace, the user is added to the company and receives the default role:

Catalog Observer

You can change the user’s roles later on the User Management page.


Important: company user or independent expert?

There are two different invitation scenarios in Actualog.

Invite to company workspace

Use Company Workspace → Users → Invitations when the invited person should become a member of your company.

This is the correct option for:

  • company employees;
  • product data managers;
  • catalog managers;
  • integration specialists;
  • billing or company administrators;
  • other people who should work inside the company workspace.

By default, invited company users receive the Catalog Observer role.

After the user joins, go to User Management to assign additional roles if needed.

Invite an independent expert

Do not use the company invitation page if you want to invite an independent community expert.

To invite an expert, open the community page:

Explore Communities → Community → Experts

Then use the invite action from the Community List — Experts page.

This invites the person as an expert in the community context, not as a member of your company workspace.


Invite a team member

Use the Invite a team member form to send one invitation.

Fill in:

  • First Name
  • Last Name
  • E-mail
  • Invitation message — optional text included in the invitation

The invitation form has no role field. Do not choose a role while sending the invitation. Actualog assigns the default Catalog Observer role when the user joins.

Then click Send invite.

The invited user will receive an invitation to join the company workspace.


Outstanding invitations

The Outstanding invitations section shows invitations that were sent but not yet accepted.

For each outstanding invitation, you may be able to:

  • resend the invitation;
  • delete or cancel the invitation.

If there are no active invitations, the page shows:

No outstanding invitations yet.

Invitation history

The Invitation history section shows invitation records after they are accepted or otherwise recorded by the system.

If no invitations have been accepted yet, the page shows:

No invitations have been accepted yet.

Load invitations from file

Use Load invitations from file when you need to invite several users at once.

Typical workflow:

  1. Download the invitation template.
  2. Fill in user names and e-mail addresses.
  3. Upload the prepared user list.
  4. Review the preview before sending.
  5. Add an optional invitation message.
  6. Click Review and send invitations.

Review the list carefully before sending invitations.


After the user joins

After the invited user accepts the invitation:

  1. Open Company Workspace → Users → User Management.
  2. Find the user in the list.
  3. Click Edit.
  4. Assign the correct company roles.
  5. Click Apply roles.

Use Catalog Observer for read-only access. Add stronger roles only when the user needs to manage company data.

A company invitation makes the user a company member and gives the default Catalog Observer role.

Use the Community List — Experts page instead when you want to invite an independent expert to a community, not to your company.
