Products overview

Products overview is the company product-management workspace. Use it to find, review, select, export, validate, repair, and maintain the products that the selected company can manage.

This page is not a public product list. It can show draft, rejected, internal, incomplete, invalid, conflicted, and otherwise non-public products when your company and role allow you to manage them.

Who uses it

Product managers, Product Editors, Product Governance Managers, Company Administrators, marketplace coordinators, data stewards, and support users use Products overview when they are responsible for product data quality, approval, publication, enrichment, or repair.

Use Product Stewardship instead when you are working as an Application Administrator or Category Steward on products outside one ordinary company workspace.

What the page is for

Use Products overview when you need to:

  • find products by name, identifier, brand, category, company role, status, or issue;
  • inspect products that are not public yet;
  • review completeness, workflow, publication, identity, and data-quality state;
  • open a product or variant family for editing;
  • select products for Mass Update or export;
  • run Check data, Recalculate identity, workflow, publication, or Mass Update operations;
  • find products that need missing brand, missing manufacturer, template, attribute, unit, or identity repair;
  • compare or open explicitly selected products, including Internal products when your management permissions allow it.

Page structure

Products overview has three main areas:

  • Toolbar and filters: search, workspace scope, category selection, status filters, attribute filters, sorting, columns, product-shape mode, and Apply filters.
  • Results list: the paged table of product or variant-family rows.
  • Selection and bulk bar: appears when Select items mode is enabled and products are selected.

The table is loaded through Ajax. Filters and paging update the list without leaving the page, but the URL is kept in sync so filtered views can be shared or reopened.

Workspace scope

The workspace scope determines which products can appear before ordinary filters are applied.

In Product Overview, scope comes from the selected company workspace and product/company relationships. Brand products appear when the company has Brand Owner or equivalent governance authority for that Brand product. Standard products appear through explicit company relationships and management authority. Consumer-only links to another company's Brand products do not make those Brand products manageable in this workspace.

The page can show products that are not public because Product Overview answers a management question: "Which products can this company work on?" Public category pages and global search answer a different question: "Which products can the public see?"

Product shape

Some categories use variant families. The product-shape control changes the result shape:

  • Groups of variants shows one representative row for a variant family.
  • Variant products shows concrete variant products.
  • All product rows shows both ordinary/concrete products and variant-family context according to the current workspace query.

The selected product shape matters for selection, Mass Update, export, and result counts. A variant-family row can represent more than one concrete product, so the bulk operation modal may ask whether the operation should affect the shared group or concrete members when the operation supports both.

Filters overview

Products overview includes several filter groups:

  • Search: product name, identifier, brand, or other indexed text.
  • Workspace: product shape, visible columns, and selection controls.
  • Category: selected categories and category suggestions.
  • Brand: brand names available in the current result scope.
  • Company role: relationship roles such as Manufacturer, Distributor, Supplier, Designer, Consumer, or Service provider.
  • Management: workflow and publication statuses.
  • Data quality: data status, identity status, issue flags, and completeness buckets.
  • Attribute filters: category-template attributes, available only after exactly one category is selected.
  • Sort: the order used for the result list.

Selected filters are summarized as active chips. If the filter panel is collapsed, the chips are the quickest way to see what is currently narrowing the list.

Apply filters behavior

Changing a filter does not immediately reload the result list.

When you change search, category, brand, status, role, attribute, sort, or product shape, the page enters a changed-filter state. The Apply filters button becomes active, and the list shows a stale-results warning. The rows still show the previous applied result until you apply the new filter set.

Use Apply filters when you are ready to reload the table with the changed filter values. Use Reset filters to return to the default filter set.

This explicit Apply filters behavior protects bulk operations. Actualog blocks Mass Update, export, compare, open, and other bulk actions while filters are dirty because the selected rows must match the result set you are looking at.

Category selection

Use category search to find and select one or more categories. Selected categories appear as chips. Removing a category chip marks filters as changed and may clear category-dependent controls.

Category filters are server-side filters. After you apply them, the result list, counters, selectable target scope, and URL all use the applied category values.

When you select more than one category, Products overview can still list products from all selected categories, but category-specific attribute filters are disabled because each category can have a different effective template.

Attribute filters

The Attribute filters button becomes available only when exactly one category is selected in the filter toolbar.

If no category is selected, the button is disabled. If more than one category is selected, the button is also disabled and the page asks you to select one category to use attribute filters. This is intentional: attribute filters are based on one category's current effective template.

When exactly one category is selected, opening Attribute filters loads the shared product attribute filter panel for that category.

Where attribute filters come from

Attribute filters are loaded from the selected category's current effective template. If the current effective template does not exist yet, Actualog ensures the current template before rendering the filter panel.

Only product-facing filterable attribute types are shown:

  • Text attributes;
  • Numeric attributes;
  • List attributes;
  • Boolean attributes.

Reference or metadata-only attributes are not shown in Product Overview attribute filters.

The filter panel reuses the standard product attribute filter control. Attribute names, descriptions, tooltips, measure units, value labels, grouping, and language display come from the same shared attribute metadata and localization services used elsewhere in Actualog.

How to use attribute filters

  1. Select exactly one category.
  2. Click Apply filters if the category selection is not yet applied.
  3. Click Attribute filters.
  4. Use the attribute search field inside the panel to find a specific attribute.
  5. Expand or collapse attribute groups as needed.
  6. Enter or choose attribute values.
  7. Use the active filter chips inside the panel to review selected attribute conditions.
  8. Click Apply filters in the attribute panel or the main toolbar.

Attribute filters use the same explicit Apply filters rule as the main toolbar. Changing a value marks the results as stale; it does not reload the table until you apply.

Attribute filter controls

The filter control depends on the attribute type:

  • Text attributes use text matching controls.
  • Numeric attributes can show minimum/maximum inputs and synchronized range controls.
  • List attributes use list-value controls.
  • Boolean attributes use true/false-style controls.

High-priority attributes appear first. Medium and low priority attributes can be shown under More. Attributes are grouped by attribute group when the category template defines groups; ungrouped attributes appear in the general section.

Attribute filters and URLs

Applied attribute filters are written into the page URL using canonical attribute query parameters. Reopening the URL restores the selected category, attribute values, paging, sort, and other applied filter state.

If you change the selected category, Actualog clears attribute filters from the previous category. Attribute filters from one category are not reused against another category.

Attribute filters and result matching

When attribute filters are applied, Actualog resolves matching product identifiers for the selected category and current product-shape mode, then applies the normal Product Overview constraints. This means attribute filters narrow the product list; they do not override company authority, category scope, governance visibility, or other selected filters.

If attribute filters match no products, the list returns no matching items. If the filter matches a very large product set, Actualog still treats that as a server-resolved scope for the list and future queued operations.

Selection mode

Click Select items to enter selection mode. Selection checkboxes appear in the result table, and the selection/bulk bar becomes available.

Selection mode supports two kinds of selection:

  • Explicit row selection: select individual rows from the current page or across pages.
  • Filtered selection: use the table header checkbox to select all products matching the currently applied filters.

Turning off selection mode clears the current selection.

Explicit row selection

Use explicit row selection when you want to work with specific visible products or variant-family rows.

Explicit selections can be used for:

  • opening selected products;
  • copying one selected product;
  • comparing selected products;
  • exporting selected products;
  • running Mass Update or governance bulk operations.

The page stores the minimum row metadata needed for bulk actions, such as product id, variant group id, product shape, product name/link, category id, and category name. This lets selected rows remain meaningful while you move between pages.

Filtered selection

Use the header checkbox to select the current filtered scope.

In Product Overview, the header checkbox selects all products matching the currently applied filters, not only the rows visible on the current page. The bulk summary shows the effective selected count based on the server-reported filtered result count.

Filtered selection is useful when you want to export or queue an operation for every product in a carefully applied filter set, such as all incomplete products in one category or all products missing mandatory attributes.

Excluding rows from filtered selection

After selecting the filtered scope, you can uncheck visible rows to exclude them. The bulk bar shows the excluded count.

Actualog sends the operation as "all products matching the applied filters, except these excluded products or variant groups." You do not need to page through the full result set to select every row one by one.

Selection and dirty filters

Bulk actions are disabled when filters have unapplied changes.

If you change a filter after selecting products, the page marks the result list as stale. Apply or reset filters before running a bulk action. Applying filters clears the existing selection because the target set may have changed.

This protects operations such as Mass Update and export from running against a product scope that no longer matches the visible list.

Bulk actions

The bulk action bar can include:

  • Bulk actions for governance and Mass Update operations;
  • Export to queue JSON or CSV data exports for the selected scope;
  • Compare for explicitly selected products, including authorized Internal products from the management result set;
  • Open for explicitly selected products;
  • Copy product when exactly one product is explicitly selected;
  • Clear to clear the selection.

Some actions are available only for explicit row selections. For example, Compare and Open do not run against a filtered selection because opening or comparing thousands of products would not be useful.

Comparison keeps product access checks. If you compare an Internal product from Product Overview, another user opening the same comparison route sees that product only if they also have management or stewardship access.

Mass Update from Product Overview

Mass Update uses the current Product Overview selection as its source scope.

The browser sends:

  • whether the scope is explicit rows, all filtered rows, or filtered rows with exclusions;
  • the applied Product Overview filter query;
  • selected product ids for explicit selection;
  • selected variant group ids for explicit family rows;
  • excluded product or group ids for filtered selection with exclusions;
  • the selected target shape required by the operation.

The server validates permissions, freezes the resolved target set, queues the operation, and the background worker executes it in chunks. Later changes to filters or selection do not change an already queued operation.

Exports from Product Overview

Data exports use the same selection model as Mass Update. You can export explicit selected rows or the filtered selection scope. Exports are queued and appear in the Exports workspace when finished.

Product Overview export does not mean that the exported products are public. It exports products visible to the current management workspace and your permissions.

Row content

Rows can show:

  • product or variant-family kind;
  • product image or avatar;
  • product name and identifier;
  • category breadcrumb;
  • brand and company relationship context;
  • workflow, publication, data, identity, and visibility summary;
  • completeness;
  • action menu;
  • variant-family details when the row represents a group.

Rows use management popovers for avatars, so internal products can be inspected safely from the management workspace without using public product URLs.

Governance queues and repair filters

Product Overview can expose queue cards or filtered links for common repair groups. Examples include draft products, internal-only products, publish-requested products, missing identity, stale identity, identity conflict, template repair, missing mandatory attributes, attribute payload mismatch, invalid list values, unit conversion required, and invalid brand assignment.

Opening a queue applies the same underlying filters used by its count, so the result list and count should describe the same product set.

Product Overview can find products that public search will not show. This is expected.

Public search, public category browse, public company product lists, public catalog rows, public media, and sitemap routes show only products that pass public visibility rules. Direct product detail and comparison routes still run actor-specific access checks, so authorized managers can inspect selected Internal products while other users cannot. Product Overview is for management and repair. Do not use global/navbar search to find internal products.

Step-by-step: find incomplete products in one category

  1. Open Products overview.
  2. Select the company workspace.
  3. Search and select the product category.
  4. Click Apply filters.
  5. Open Data quality filters.
  6. Select Incomplete or a relevant issue flag.
  7. Click Apply filters.
  8. Review rows, completeness, and governance details.
  9. Enable Select items if you need to export or queue a repair operation.

Step-by-step: filter by category attributes

  1. Select exactly one category.
  2. Apply filters.
  3. Click Attribute filters.
  4. Search for the needed attribute in the offcanvas panel.
  5. Enter a text or numeric value, or select list/boolean values.
  6. Click Apply filters.
  7. Confirm the active filter chips show the attribute filters.
  8. Select rows or filtered scope if you need a bulk operation.

Step-by-step: select all filtered products for Mass Update

  1. Apply every filter that defines the product set.
  2. Enable Select items.
  3. Use the table header checkbox to select all matching products.
  4. Exclude any visible rows that should not be changed.
  5. Open Bulk actions.
  6. Choose the operation.
  7. Review the operation modal and queue the operation.
  8. Open the notification or Product operations page to review results.

Business rules

Products are organized by category, company relationships, governance authority, and variant-family structure. Required attributes, naming templates, identity policy, attribute filters, validation rules, and publication readiness depend on the selected category and its effective template.

Users can only see and change records allowed by their role, company authority, stewardship authority, and subscription features. Product Overview does not grant public visibility and public pages do not grant management access.

Common mistakes

Do not run bulk actions while filters are dirty. Apply or reset filters first.

Do not expect Attribute filters to appear when no category or multiple categories are selected. Choose one category.

Do not assume the header checkbox selects only the current page. In selection mode, it selects the current filtered result scope.

Do not treat a direct product URL as publication. Authorized managers may inspect internal products through management-aware links, but public lists and global search still hide them.

Do not use Product Overview to transfer Brand Owner authority for another company. Brand Owner repair belongs to Product Stewardship when your role allows it.
